Frequently Asked Questions

Snap Surveys AI and your data

While in beta there is no additional charge outside your ordinary subscription to use AI functionality within the Snap Surveys platform.

The Snap Surveys AI Functionality is built on Microsoft enterprise cloud and AI toolsets, specifically including Azure OpenAI Services. Additionally, the system relies exclusively on production models and does not utilize any Microsoft preview or beta models.

Your inputs, including prompts, questions, and instructions, are not used by Snap Surveys or Microsoft to train, retrain, or improve public foundation AI models. The generated outputs, such as survey structures and options, are also excluded from public model training.

You retain full ownership of all prompts, data, and text you input into the tool. You also own all right, title, and interest in the resulting survey structures and content generated by the AI, provided you comply with the acceptable use terms.

Data is processed securely within Snap Surveys’ designated Microsoft Azure tenant instance. Customer inputs and generated outputs are stored at rest strictly in the Azure region applicable to your account: UK South (London) for UK/EEA customers, and East US (Virginia) for US customers. While the AI model utilizes a global deployment for inferencing, meaning data may be transiently processed in other geographies, no inputs or outputs are stored at rest outside your regional storage location. All data processing remains subject to your existing Data Processing Addendum (DPA).

Compliance is managed through our acceptable use policy, and users must not submit prompts or instructions containing sensitive personal data, special category data under GDPR, or Protected Health Information (PHI) under HIPAA, unless this has been explicitly agreed upon in writing.

Access to the AI functionality is optional and is granted on an opt-in basis. A customer account can opt in and enable the feature by electronically accepting the side letter agreement and authorizing Microsoft Azure AI Services as a sub-processor.

Because generative AI tools are probabilistic and can sometimes produce incomplete, biased, or inaccurate outputs, you are solely responsible for reviewing and verifying all generated content before distributing surveys to respondents. AI outputs must not be used to make decisions based solely on automated processing that produce legal or significant effects concerning any individual.
