{"id":26435,"date":"2018-01-31T14:42:27","date_gmt":"2018-01-31T14:42:27","guid":{"rendered":"https:\/\/www.snapsurveys.com\/support-snap11\/?page_id=26435"},"modified":"2018-10-04T12:17:18","modified_gmt":"2018-10-04T11:17:18","slug":"sending-an-email-that-includes-a-unique-respondent-identifier","status":"publish","type":"page","link":"https:\/\/www.snapsurveys.com\/support-snap11\/worksheets\/sending-an-email-that-includes-a-unique-respondent-identifier\/","title":{"rendered":"Anonymisation in Surveys &#8211; Sending an email that includes a unique respondent identifier"},"content":{"rendered":"<p>In these surveys, you upload your respondent database to Snap WebHost, but you are not able to match the survey responses to a given respondent.\u00a0 You can however track whether a given respondent has responded and if not, send them reminder emails.<\/p>\n<p>You may need respondents to log in so that you can ensure that they only complete a questionnaire once, or to enable\u00a0Snap WebHost\u00a0to keep track of their responses. To set up a login page, you must have a known list of respondents and the unique ID that they will use to log in. This must be seeded into the survey using a database link.<\/p>\n<p>To make life simple for respondents, you can ensure they are logged in automatically by clicking on a link in an email that has been sent to them. To do this, the survey must have been seeded with the email addresses (from a database link). You can set up emails with the special login link from Snap Professional or from\u00a0Snap WebHost. The method is slightly different in each case.<\/p>\n<p>What you need in your database:<\/p>\n<ul>\n<li>A unique email address for each respondent. This will be used to set up the Respondents in Snap WebHost. Click <strong>Next<\/strong>.<\/li>\n<li>Select <strong>Send email invitations and reminders &#8211;\u00a0<\/strong>this instructs WebHost to send email invites and reminders to your respondents.<\/li>\n<li>Make sure the box which says\u00a0<strong>Identify respondents in the response data <\/strong>is unchecked.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-26481 aligncenter\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/1.png\" alt=\"\" width=\"590\" height=\"565\" srcset=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/1.png 590w, https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/1-150x144.png 150w, https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/1-500x479.png 500w\" sizes=\"auto, (max-width: 590px) 100vw, 590px\" \/><\/p>\n<ol start=\"10\">\n<li>Click <strong>Next<\/strong>.<\/li>\n<li>The next box is the email invitations step of the database link wizard.\n<ul>\n<li>Tells WebHost which database field contains the respondent email address.<\/li>\n<li>Allows you to design an email that will be uploaded to WebHost \u2013 you can also design the email in WebHost.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ol start=\"12\">\n<li>Check the Use HTML emails if you wish to have styled HTML emails.<\/li>\n<li>If you would like respondents to be automatically logged in, select the <strong>Automatically log into survey {SurveyLinkAuto}<\/strong>. This creates a link that will automatically log the respondent in to the survey without the need to type their username.<\/li>\n<li>Set the Email address field option; select the appropriate unique email address from the drop down menu.<\/li>\n<li>Add a subject heading in the Email subject and text box.<\/li>\n<li>Type the email message in the large open box. To progress to the next stage you must:\n<ul>\n<li>Insert a survey location using the <strong>Insert | Survey Location<\/strong> option.\u00a0 The Link Text will change the text of the displayed survey location.<\/li>\n<li>Insert a link enabling your respondents to opt out of the survey using the Insert | Survey Opt Out option.<\/li>\n<\/ul>\n<\/li>\n<li>You can also insert additional information from your database using the <strong>Insert | Database Field<\/strong> option.\n<ul>\n<li>You can make changes or add additional design elements to the email invite when the survey has been uploaded to WebHost.<\/li>\n<\/ul>\n<\/li>\n<li>The Reminder text is copied automatically from the initial invitation.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-26507 aligncenter\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/9.png\" alt=\"\" width=\"687\" height=\"565\" srcset=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/9.png 687w, https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/9-150x123.png 150w, https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/9-500x411.png 500w\" sizes=\"auto, (max-width: 687px) 100vw, 687px\" \/><\/p>\n<ol start=\"19\">\n<li>Click <strong>Next<\/strong>. You will see a summary of what the database link does.\u00a0 Give the database link a name.<\/li>\n<li>Select <strong>Finish<\/strong> and <strong>Close<\/strong> \u2013 <em>there is no need to click Run<\/em>.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-26508 aligncenter\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/10.png\" alt=\"\" width=\"610\" height=\"291\" srcset=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/10.png 610w, https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/10-150x72.png 150w, https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/10-500x239.png 500w\" sizes=\"auto, (max-width: 610px) 100vw, 610px\" \/><\/p>\n<ol start=\"21\">\n<li>Once you have finished the database link, you will need to make sure the id.name system variable has been set. This instructs WebHost to seed the unique identifier in to the data.<\/li>\n<li>Click on <strong>Questionnaire Properties<\/strong> <img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-26441\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/image024.png\" alt=\"Icon: Questionnaire properties\" width=\"21\" height=\"21\" \/>.<\/li>\n<li>Scroll to the <strong>Paradata<\/strong> section. Highlight the <strong>Respondent<\/strong> option in the <strong>System Variables<\/strong> list and tick <strong>Use in survey<\/strong>. Click <strong>OK<\/strong>.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-26442 aligncenter\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/image026.png\" alt=\"Questionnaire properties - Paradata\" width=\"423\" height=\"308\" srcset=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/image026.png 423w, https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/image026-150x109.png 150w\" sizes=\"auto, (max-width: 423px) 100vw, 423px\" \/><\/p>\n<ol start=\"24\">\n<li>This will create a new variable at the top of the survey called <em>ID.name<\/em>. To enable your respondents to log in automatically, highlight the question, right click and select <strong>Hide Variable<\/strong>.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-26443 aligncenter\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2018\/01\/image028.png\" alt=\"ID.name -
