Smart Reports can be re-run using the latest data to produce an up-to-date report. You can easily re-run reports, and know that once you have set up the report the way you like it, it will be produced like that every time you run it, with no chance of errors creeping in through copying or cut and paste.<\/p>\n<p>This worksheet describes how to use data from analyses in the report text. It also shows you how to use ordered tables so you can headline important points. For example, you can automatically include the aspects your customers are least satisfied with.<\/p>\n<p>The worksheet assumes:<\/p>\n<ul>\n<li>you are familiar with Snap<\/li>\n<li>you have created reports before<\/li>\n<li>you have a copy of the sample course evaluation survey which is distributed with Snap 11\u00a0<a href=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2013\/08\/Course-Evaluation.adf\">(a copy of the survey is available for download here)<\/a><\/li>\n<li>you have a pdf printer driver available.<\/li>\n<\/ul>\n<p><a name=\"o30391\"><\/a><\/p>\n<h3>Background<\/h3>\n<p>Reports are built up using instructions.<\/p>\n<p>Instructions allow you to put text, graphics and analyses in a report. When the report is run, Snap or Snap WebHost will insert the current response data into the analyses.<\/p>\n<p>You can insert <em>references <\/em>in your instructions. These references mean that Snap will replace the reference with data (similar to a mail merge in MS Word). For example, use the reference {cases} to insert the current number of responses in your report. E.g.,<\/p>\n<p>&#8220;{cases} people have completed our survey&#8221;<\/p>\n<p>In Snap 11 you can insert table cell references. If you create a table, you can use references to the row labels, column labels and the table cells in the report text, notes on analyses or even in another table.<\/p>\n<p>This means that you can use whatever data is in the table in your report, and it will automatically pick up the latest data. You do not need to copy and paste.<\/p>\n<h3>How references work<\/h3>\n<p>You can reference the data you want to insert by row and column number, or by the statistics number.<\/p>\n<p>For example, the table (<b>AN21<\/b>) shown below has row and column data, and two statistics.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" style=\"margin: 2px; border: 0px;\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2013\/08\/tab_ref_ex.png\" alt=\"Smart reporting: image of\" width=\"272\" height=\"341\" align=\"bottom\" border=\"0\" hspace=\"2\" vspace=\"2\" \/><\/p>\n<p>You need to know which row, column, statistic or label you wish to reference.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" style=\"margin: 2px; border: 0px;\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2013\/08\/tab_ref_map.png\" alt=\"Smart reporting: image of\" width=\"533\" height=\"308\" align=\"bottom\" border=\"0\" hspace=\"2\" vspace=\"2\" \/><\/p>\n<p>The example shows the instructions needed to insert data from the table. The reference is made up of the name of the analysis you wish to reference followed by a space, then a code to identify the cell to use.<\/p>\n<p>The code is made up of letters representing row (R), column (C), statistic (S) or label, and numbers identifying which item you want.<\/p>\n<p>You can find out what the code for a given cell is by putting the cursor on it or clicking it. The cell reference information will be displayed in the status bar.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-12598\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2013\/08\/xtab_cellref_hl.png\" alt=\"Cross Tabulation Cell Reference\" width=\"392\" height=\"406\" \/><\/p>\n<p>You can also find the cell reference details by double-clicking the cell and checking the information in the Override Analysis Value dialog.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" style=\"margin: 2px; border: 0px;\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2013\/08\/tab_ref_inf.png\" alt=\"Printer layout dialog with start new document highlighted\" width=\"399\" height=\"291\" align=\"bottom\" border=\"0\" hspace=\"2\" vspace=\"2\" \/><\/p>\n<p>When the report is run, it will use the current data, for example<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" style=\"margin: 2px; border: 0px;\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2013\/08\/tab_ref_rep.png\" alt=\"References Table\" width=\"360\" height=\"486\" align=\"bottom\" border=\"0\" hspace=\"2\" vspace=\"2\" \/><\/p>\n<p>In Snap 11, you can order the table columns from highest to lowest. This means that you can automatically place the highest and lowest values in your report without needing to edit them. The simple report used in this worksheet will only include:<\/p>\n<ul>\n<li>a title<\/li>\n<li>a sentence giving the number of people totally satisfied with course content (from the table <b>AN4<\/b>)<\/li>\n<li>a sentence giving the topic that most needs improvement (using ordered gap analysis)<\/li>\n<li>the gap analysis chart <b>AN15<\/b><\/li>\n<\/ul>\n<h3><a id=\"step2\" name=\"step2\"><\/a>Step 2: Creating the instructions<\/h3>\n<p>The report will contain a title, an information line and an analysis.<\/p>\n<p><strong>Adding the title<\/strong><\/p>\n<ol>\n<li>Click <img loading=\"lazy\" decoding=\"async\" style=\"margin: 2px; border: 0px;\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2013\/08\/batch.png\" alt=\"Batches button\" width=\"16\" height=\"16\" align=\"bottom\" border=\"0\" hspace=\"2\" vspace=\"2\" \/> on the Snap toolbar to open the reports window. This step shows you how to put the area needing the most improvement in the summary line by using a sorted table.<\/p>\n<p><strong>Create a sorted table<\/strong><\/p>\n<ol>\n<li>Select <b>AN15 <\/b>in the <b>Analyses <\/b>window.<\/li>\n<li>Click <img loading=\"lazy\" decoding=\"async\" style=\"margin: 2px; border: 0px;\" src=\"https:\/\/www.snapsurveys.com\/support-snap11\/wp-content\/uploads\/2013\/08\/clone.png\" alt=\"Clone button\" width=\"23\" height=\"20\" align=\"bottom\" border=\"0\" hspace=\"2\" vspace=\"2\" \/> to make a copy of it.<\/li>\n<li>The <b>Analysis Definition<\/b> window opens. Change the <b>Type <\/b>to <b>Table<\/b> and the <b>Order <\/b>to <b>Mean<\/b>.
